Choose Thai sales documents from quotation to payment
Connect quotations, purchase orders, delivery records, payment requests, receipts and the tax-invoice checklist to actual events without forcing one sequence on every business.
This sequence maps events; it is not a mandatory universal process
A transaction may move through quotation, purchase order, delivery, billing and payment, but steps can be absent or combined under the parties' arrangement. Choose a document for the actual event rather than assuming every business must issue every template.
Before agreement: quotation and purchase order serve different sides
A quotation communicates the seller's proposed items, price and terms. A purchase order communicates a buyer's order. Both tools create general local documents and do not establish acceptance, purchasing authority, a contract, signatures or tax treatment.
At delivery: keep the items and acceptance traceable
A general delivery note records what was sent, quantities, date, sender and recipient. Revenue Code section 105 quater imposes duties and particulars in covered cases, but the tool neither decides applicability nor certifies statutory completeness.
At billing: choose an invoice or billing note for the counterparty process
A general invoice and billing note communicate amounts and terms before payment. Some organizations use a billing note to submit a group of documents during a billing window. Duplicating both does not create extra legal or tax status, and neither proves payment.
At payment: document the event and check applicable duties
A receipt records that money was received or a claim was settled. Sections 105 and 105 bis set issuance and copy-retention duties in covered cases. The tool creates only a general receipt and does not decide which duty applies to the transaction.
A tax invoice is a separate tax-document path
Displaying VAT text or an amount on a general document does not automatically make it a tax invoice. The checklist reviews visible groups under section 86/4 only; it does not authenticate the issuer or document, confirm VAT registration, determine input-tax entitlement, exceptions or e-Tax compliance.
Reconcile references and status across documents
Before sharing, compare quotation or order references, line items, quantities, delivery date, invoice number, billing cycle and the actual payment date. Preserve an appropriate change trail and check counterparty, accounting and authority requirements when documents affect rights or money.
